Job Description:

The Technical Assistant (TA) provides procurement- and administrative support to the ship management department and reports to the Fleet Manager.

The Technical Assistant works closely with the Superintendents (SI) and as per their instructions carries out day-to-day work of the department connected with the vessels assigned to the TA.

Responsibilities of the post are as follows:

  1. Processes service orders as per instructions from the SI.
  2. Handles the office mail to vessels, prepares for shipment by courier.
  3. Receives requisitions from vessels, sends out requests for quotations (RFQ) to suppliers, provides the SI with price offers and prepares the purchase orders after approval. Sends out the orders to the selected supplier and arranges delivery on board.
  4. Ensures that ordered goods arrived on board by checking the signed delivery receipts from the vessel.  Checks the supplier’s invoices for correct quantities and invoice amount, assigns cost codes as per budget cost centers.
  5. Keeps track of expected delivery times of goods and informs the SI when delays may jeopardize the supply deadline.
  6. Keeps up business relations with suppliers. 
  7. Evaluates suppliers’ performance, evaluates quality and prices of supplied goods. 
  8. Serves as backup during absence of other TA’s.
  9. Collects SMS reports from the vessels, saves these at designated folders, and checks the reports for completeness.
  10. Participates in department meetings, seminars, and in-house training.

Job Requirements:

               A. Knowledge and skills

  1. Knowledge of spoken and written English.
  2. Comfortable interacting and developing effective work relations with the ship management department staff.
  3. IT competence (Word, Excel, Outlook).
  4. Experience of tracking and dealing with inquiries and working to deadlines.
  5. Experience of planning, organizing and prioritizing workload.
  6. Hands-on mentality

               B. Qualifications and experience

  1. Experience in a similar post is preferred.
  2. NEVI (minimum NEVI MIL) is preferred.
  3. Certificate in procurement and /or supply chain operations.
